A deposit is an amount your client pays online when they book an appointment with your studio. You decide if and when clients pay one. Deposits are optional, and they work only after you connect your own Mollie or Stripe account.
The deposit rule
Your studio has one deposit rule. You choose one of three options:
- Never - deposits are off: no client pays a deposit. This is how every new studio starts.
- Always - every client: every online booking asks for a deposit.
- Conditional - based on no-show history: pbw.life asks a deposit only from clients with no-shows in their booking history, and from new clients if you want.
Appointments that you add yourself, such as walk-ins and phone bookings, never ask for a deposit.
The amount
The deposit is a fixed amount or a percentage.
- A fixed amount is between EUR 1 and EUR 500. It is never higher than the price of the appointment.
- A percentage is between 1 % and 100 % of the appointment total. The total includes the at-client surcharge and the travel fee when you work at the client’s address.
On the Pro versions and Founding you can also set a different deposit for a single service, and you can give regular clients a lower deposit or no deposit. See Plans and prices.
Your own Mollie or Stripe account
Deposits are paid through Mollie or Stripe. You connect your own account to pbw.life. You can switch a deposit rule on only when Mollie or Stripe is connected and active.
- The client pays with the payment methods that you enabled in your Mollie or Stripe account.
- The money goes straight to your own Mollie or Stripe account. pbw.life never holds it.
- Payouts to your bank account follow the payout schedule of your Mollie or Stripe account.
If your Mollie or Stripe account stops working, bookings are confirmed without a deposit until you fix it. You get an e-mail and a push notification when this happens.
Fees
pbw.life adds no fee to deposits or refunds. You pay pbw.life only your subscription. Mollie or Stripe charges its own transaction fee, as it does for any other payment you receive there.
Refunds
What happens to a paid deposit follows the cancellation policy that you set. You choose how many hours before the appointment a client can cancel on time, and if you keep the deposit on a late cancellation. Your client accepts this policy when they book.
- When the client cancels on time, the deposit is refunded automatically.
- When you or your specialist cancel the appointment, the deposit is refunded automatically.
- When the client does not show up, you keep the deposit.
A refund is always the full deposit amount.
