Event terms for organizers
Supplementary terms between Pro Beauty World (pbw.life) and the organizer of group events
1. Scope
- These terms apply in addition to the pbw.lifeTerms of Service andData Processing Agreement as soon as you, as a business (the organizer), publish events. Where they conflict, these terms prevail for events.
- You can organize events without an appointment subscription. The subscription clauses of the Terms of Service then do not apply.
- An event is a one-off group session on a fixed date with a price per seat, a minimum and maximum number of seats and a decision deadline.
2. Roles
- You are the provider of the event and the trader towards the participant. You are responsible for the content, quality, venue, safety, permits, insurance and certificates of the event.
- You authorize pbw.life to conclude contracts with participants in your name and on your behalf on the terms you enter for the event, to have payments collected for you through Stripe, and to carry out refunds in the cases these terms and theEvent terms for participants describe. pbw.life acts as an intermediary and does not become a party to running the event.
- The Event terms for participants form part of every contract you conclude with a participant through pbw.life. Your own terms may not deviate from them to the participant's disadvantage.
3. Identity and verification
- You declare that you act in the course of a trade or business. pbw.life shows participants your name, address, KvK number, email address and phone number. Keep these details correct and up to date.
- To take payments online you connect your own Stripe account and complete Stripe's verification. Without a fully verified account you cannot publish an event paid online and no payout takes place. An event paid on site (section 13) needs no Stripe account.
4. Publishing an event
- You state correctly and completely: description, date, start and end time, venue, price per seat including VAT, payment mode (full price or deposit plus balance and its due date), minimum and maximum number of seats, decision deadline and your cancellation policy.
- The price is one total amount. You charge participants no extra fees and do not send them to another payment method for seats sold through pbw.life.
- No more than 90 days may pass between the first booking and the end of the event.
- After the first booking you do not change the decision deadline or the minimum. If you change another main characteristic, pbw.life informs the participants and each of them may cancel free of charge with a full refund.
5. Decision deadline and outcome
- At the decision deadline pbw.life automatically counts the paid seats and records that number. The recorded number binds you and the participants.
- Minimum reached: the event is confirmed and you must run it.
- Minimum not reached: within 24 hours after the decision deadline you may choose to run the event anyway. The event then counts as confirmed, with all consequences under these terms. If you do not choose within that window, pbw.life cancels the event and refunds every participant in full. You then pay no platform fee.
- You do not influence the count, for example by refusing bookings, blocking seats or booking seats yourself. If you do, the missed minimum counts as a cancellation by you (section 6), in line with article 6:23 of the Dutch Civil Code.
6. Cancellation by the organizer
- If you cancel an event for any reason other than a missed minimum, before or after confirmation, pbw.life refunds every participant in full. You pay no platform fee.
- pbw.life invoices you, at cost and without markup, the payment costs Stripe does not return on those refunds.
- A cancellation after confirmation is a failure to perform towards the participants. You are liable for the participants' damage and indemnify pbw.life against participants' claims arising from running or not running the event.
7. Payments, holding and payout
- This section and section 8 apply to events paid online. For events paid on site, section 13 applies instead.
- Participants pay through Stripe, a licensed payment service provider. The money stays with Stripe until payout or refund. pbw.life never receives it on a bank account of its own and only gives Stripe instructions.
- After a confirmed event has ended, pbw.life transfers the paid amounts to your Stripe account, minus the platform fee and payment costs (section 8), no later than 7 days after the end date.
- If a participant cancels after the cooling-off period under your cancellation policy, the amount you may keep under that policy is paid out to you and the rest is refunded.
- Participants pay the balance through pbw.life. Cash payment of the balance is only allowed on the Starter plan or, for a beauty studio, on a Pro version of the studio subscription or Founding.
- For a chargeback, or a refund that turns out to be needed after the payout, pbw.life may set off the amount and its costs against later payouts or invoice them to you.
8. Platform fee and payment costs
- Free (default): 5% of the price of each confirmed seat, minimum €0.49 and maximum €9.95 per seat. No fixed costs.
- Starter: €19 per month or €190 per year, plus 2% of the price of each confirmed seat, minimum €0.20 and maximum €4.95 per seat. Starter is available to organizers who use the organizer app.
- Beauty studios: a beauty studio that sells events from the studio portal does not take a separate organizer plan. Online seat payment is included in the Pro versions of the studio subscription and in Founding, with the Starter fee of 2% of the price of each confirmed seat, minimum €0.20 and maximum €4.95 per seat. On the Start versions participants pay for their seat on site.
- Paid plans are billed through Mollie. You are always on exactly one plan. A plan change applies to payouts released after the change; fees already withheld are not recalculated.
- The platform fee is due when the event is confirmed, including when you choose to run it anyway. The fee lapses for a seat that is refunded in full. pbw.life withholds the fee from the payout.
- Payment costs are passed through at the rate Stripe charges, without markup, and withheld from the payout. That is €0.29 per payment for iDEAL and 1.5% + €0.25 for European cards (stripe.com/nl/pricing, as of 23 October 2026). If the minimum is not reached, pbw.life bears the payment costs.
- Each month you receive a statement with the platform fee or the plan, the payment costs and any re-invoiced refund costs, plus a report per event.
- Pro Beauty World currently charges no VAT (Dutch small-business scheme, KOR). Once the KOR no longer applies, VAT is added to the platform fee and the plan.
9. VAT on the event
Because you supply the event yourself, you are responsible for VAT on the seat price, including the amount pbw.life collects on your behalf, and for the correct VAT rate. If a seat is refunded, pbw.life does so on your behalf out of funds held for you at Stripe.
10. Participant data
- For each event you receive the participants' name, email address, phone number (if given), language, number of seats and payment status. You are the controller for your use of that data.
- You use this data only to run the event and for your legal obligations. For marketing you need the participant's consent.
- Processing within the platform itself is covered by the pbw.lifePrivacy Policy. pbw.life is an independent controller for booking, counting, payment, refunds and payouts. You are an independent controller for the data you receive to run the event. There is no joint controllership.
11. Suspension and termination
- On a reasonable suspicion of fraud, misleading information or a serious breach of these terms, pbw.life may take an event offline, stop sales or suspend a payout, and if needed refund all participants. You are told the reasons no later than at that moment.
- If pbw.life ends the events service for you, we give you at least 30 days' notice with the reasons, except in case of fraud or a legal obligation. Confirmed events are still settled.
- Send complaints about the platform toinfo@pbw.life; we reply within 14 days.
12. Changes, governing law
- pbw.life announces changes to these terms at least 15 days in advance by email. You may terminate during that period. Each booking records which version of the participant terms was accepted; a change does not alter existing bookings.
- These terms are governed by Dutch law. Disputes go to the competent court in the Netherlands.
13. Events paid on site
- You may publish an event with payment on site. Participants then reserve seats without paying online and pay you directly at the event. pbw.life does not collect, hold, refund or pay out any money for that event.
- No platform fee and no payment costs apply to an event paid on site, and it does not appear on your payout statements.
- The minimum number of participants and the decision deadline work as in section 5; reserved seats count towards the minimum. If the event is cancelled, every reservation is cancelled and the participants are informed. There is nothing to refund through pbw.life. Anything a participant paid you outside pbw.life you refund yourself, as the law and your cancellation policy require.
- Participants may cancel their reservation free of charge until the event starts. pbw.life does not charge a cancellation or no-show fee on your behalf.
- You are responsible for collecting the price, for any receipt or invoice, and for VAT on what you receive (section 9).
