What is a travel fee?

A travel fee is what you charge to come to the client. You pay for the trip yourself, with fuel, wear and parking, and you are not working while you drive. None of that is in the price of your treatment, so you charge it separately.

In the Netherlands you will see the words voorrijkosten, reiskosten and aanrijkosten. They all mean the same. On a pbw.life booking the line is called travel fee (reiskosten in Dutch).

What to include

Two things really count: what the trip costs your car and what your time is worth. Car costs are more than fuel. Tyres, maintenance, insurance and depreciation also add up with every kilometre. Your travel time is time you cannot spend on a client, so charge it at an hourly rate that fits your work.

A minimum fee keeps a trip around the corner from earning you almost nothing. Add parking if you work in a city where you nearly always pay.

Per kilometre or per zone?

A per-kilometre price is exact but hard to explain. Clients rarely know how far they live from you. Fixed amounts per zone are clearer: up to 5 km, 5 to 15 km, 15 to 25 km. The client sees the amount for their address straight away.

Always put your travel fee on your price list or booking page in advance, so the client knows the total before booking. A price list with travel fee lines per zone is in the hairdresser price list template.

Travel fees added to the booking automatically

In pbw.life you set up zones by postcode, with a fixed amount per zone. When a client books a treatment at home, pbw.life finds the zone for their postcode and adds the travel fee as a separate line on the booking. Once you have zones, clients outside them cannot book a home visit. No more working it out by hand or explaining it in a DM.

Questions about travel fees

How do I calculate a travel fee?

Add the car costs of the round trip to your round-trip travel time, charged at your hourly rate. If that makes the trip too expensive, charge only part of your travel time, for example half. Add parking if you pay for it. If the result is below your minimum fee, charge the minimum.

What does voorrijkosten mean?

It is the Dutch word for a travel fee: what you charge to come to the client. Reiskosten means the same thing. pbw.life uses reiskosten in Dutch and travel fee in English.

Do I have to tell clients about the travel fee in advance?

Yes, put it on your price list or booking page. Then the client knows the total cost of the appointment before booking and there is no discussion at the door.

Should I charge a travel fee to a regular client around the corner?

That is up to you. Many beauty pros charge a low amount or nothing in the first zone and a fixed amount from the second zone on. With zones in pbw.life you set that per zone.
