How travel fee zones work

Travel fee zones decide where you work at the client's address and what your client pays for your travel. This guide explains how to set up zones, which zone wins, what your client sees, and how the fee adds up with a deposit.

What zones do

A zone is a list of postcode areas with one travel fee. When a client books a service you do at their address, the booking page asks for that address, finds the zone for the postcode and adds the zone's travel fee to the price.

Zones only apply to services set to At the client's location on the Services page. Services at your studio never ask for an address and never get a travel fee.

One appointment, one travel fee: when a client books several services, or several people, for the same appointment, the fee is charged once.

Set up a zone

  1. Open Travel fee zones in the studio portal and click Add zone.
  2. Zone name, for example "Gouda". Your clients see it next to the fee, so pick a name they recognise.
  3. Include PC4 codes: the postcode areas in this zone. A PC4 is the first four digits of a Dutch postcode: 2801 for 2801 AB. Type four digits and press Enter or a comma; you can also paste a list.
  4. Exclude PC4 codes (optional): postcode areas that must not count for this zone, even if they are in the include list.
  5. Travel fee in euros, for example 7.50 (7,50 works too). Enter 0 for free travel.
  6. Click Save zone. With the arrows next to a zone you change the order.

Which zone wins

  • A postcode matches a zone when its PC4 is in the zone's include list and not in its exclude list. Exclude always wins: a PC4 in both lists does not match that zone.
  • Zones are checked from top to bottom. The first zone that matches decides the fee; zones further down are ignored for that postcode.
  • If no zone matches, the address is outside your service area and your client can't book that service at that address.
  • If you have no zones at all, no travel fee is charged, and the booking page only checks the travel distance you entered when you set up your studio, if you did. To charge travel fees and refuse addresses that are too far, set up zones.

The fee is fixed on the appointment when your client books. Changing or deleting a zone later doesn't change appointments that are already booked.

What your client sees

After choosing a service at their address, your client enters the address. As soon as the postcode is complete, the booking page shows:

  • In a zone with a fee: Travel fee (Zone: Gouda): €7.50, with your zone name and fee (on the Dutch booking page: Reiskosten).
  • In a zone with fee 0: Travel fee (Zone: Gouda): No travel fee for this area.
  • Outside all zones: Unfortunately this postcode is outside the service area of [your studio]. You can contact them directly:, followed by your phone number and website. The client can't continue with this address.

Outside your area, the client can also leave an email address (optional, with consent) or simply tap Let them know. pbw.life stores the postcode area (only the four digits) and, if given, the email address as interest in your area. These requests are not shown in the studio portal yet.

On the confirm screen your client sees the price broken down, for example:

Service Price
€45.00
At-client surcharge
€5.00
Travel fee
€7.50
Total Price
€57.50

A promo code only discounts the service price, never the at-client surcharge or the travel fee.

Travel fee, surcharge and deposit

  • The travel fee belongs to a zone: it depends on where your client lives.
  • The at-client surcharge belongs to a service: you set it on the Services page for a service at the client's location, and it is the same everywhere.
  • Both are added to the price. If you ask a percentage deposit, it is calculated over the full total including both. A fixed deposit stays the same. See How deposits work.

Worked example

A studio based in Gouda sets up three zones, in this order:

#Zone nameInclude PC4Exclude PC4Travel fee
1Gouda2801 2802 2803 2804 2805 2806 2807 2808 28092809€0.00
2Around Gouda2809 2811 2841 2851 2861 2871€7.50
3Rotterdam centre3011 3012 3013 3014€12.50

What clients pay for travel:

  • 2803 AB (Gouda): zone 1 matches first. No travel fee for this area.
  • 2809 KL: excluded from zone 1, so zone 2 matches. €7.50.
  • 2841 AA (Moordrecht): zone 2. €7.50.
  • 3012 CN (Rotterdam): zone 3. €12.50.
  • 2611 AB (Delft): no zone matches. Outside the service area: the client can't book this service at that address.

Order matters: if "Around Gouda" were at the top and also included 2803, a client in 2803 would pay €7.50, because the first match wins.

A client in 2841 who books a €45.00 service at home with a €5.00 at-client surcharge pays a total of €57.50. With a 50% deposit, the deposit is €28.75.
